Terms & Conditions
Welcome Adventurers!
PARTICIPATION
The stays and activities that we offer involve the active participation of everyone for its smooth running.
REGISTRATION
Registering for one of our activities or trips implies acceptance of the general Terms and conditions. Each customer must complete a registration form.
Registration is only accepted with the payment of a deposit representing 30% of the total cost of the trip and subject to availability. If registration is made less than 30 days before departure, the total price of the trip must be paid upon registration. You can make your payment by bank transfer (SWIFT/IBAN) or by Paypal. A registration confirmation will be sent to you by email as soon as possible.
BILLING
Once your reservation has been registered, we will send you your invoice by email.
The remaining balance must be paid at least 30 days before the tour departure date. If the balance of the trip does not reach us within these deadlines, The Portal reserves the right to cancel the reservation without compensation.
CANCELLATION
Cancellation conditions and fees: If, for whatever reason, you must cancel your trip, the sums you have paid will be refunded to you subject to the following deductions:
- More than 30 days before departure: Full refund minus deposit.
- 30-15 days before departure: 50% of total tour cost will be refunded.
- Less than 15 days before departure: No refund.
Cancellation by Us: If we cancel the tour due to unforeseen circumstances, you will receive a full refund or the option to transfer to another tour of equal value.
These specific conditions will be notified to you on your registration confirmation. If you are obliged to cancel your trip before it begins (departure date), you must inform The Portal by any written means allowing you to obtain acknowledgment of receipt. It is the date of receipt of the writing which will be used as the cancellation date to charge the cancellation fees.
If The Portal is obliged to cancel a group departure, due to an insufficient number of participants, the decision will be made and customers informed no later than 15 days before departure. The Portal may also cancel a departure following exceptional events, in particular cases of force majeure (volcanic eruption, social events, strikes, bad weather) which could jeopardize the safety of participants. In these cases, participants will be fully reimbursed for the sums they have paid without however being able to claim any compensation.
INSURANCE
We ask you to take an insurance policy before your departure guaranteeing the activities carried out with The Portal.
We ask you to kindly send us the information by email of your insurance contract (name of the company, name of the contract, insurance policy number, telephone number) and to take this information with you during your stay.
MODIFICATION OF THE CONTRACT
In the event of modification of a trip by the client resulting in costs for The Portal, these costs will be the responsibility of the client. In all cases, any modification will be made in writing. The Portal could modify elements of the travel contract, if it becomes necessary due to events beyond our control. Our customers will be informed in writing as soon as possible.
PRICES AND PRICE REVISION
For group trips, the prices shown on the website have been calculated and are valid for the indicated number of participants for each trip. Prices are confirmed upon registration. If the number of participants is inferior to the minimum required, a "small-group supplement" may be applied. For all trips or programs, we mention the price per person, valid from a certain number of participants, and we detail the services included and not included in this price. Any change in exchange rates, in the prices of the various elements making up a trip and in particular the price of fuel may result in a price adjustment.
HEALTH AND ADMINISTRATIVE CONDITIONS
The Portal cannot replace the individual responsibility of each participant. They must comply with police, customs and health regulations and formalities at all times during the trip. Under no circumstances will the The Portal company be able to replace the individual responsibility of the client who must take responsibility for obtaining all formalities before departure (passport, visa, health certificate, etc.). The practical information contained in our technical sheets is given for information purposes only. Check for yourself before departure and with the authorities concerned (consulate or embassy) the list of mandatory documents. Non-compliance with these regulations, the inability of a client to present proper documents as well as any delay imply the sole responsibility of the client who will bear the costs incurred.
RESPONSIBILITY
The Portal cannot be held responsible for the following events: delay or inability of a participant to present properly required documents, loss of these documents or unforeseeable and irresistible circumstances such as strikes, social events, bad weather, etc. Any trip interrupted or shortened by the participant and for whatever reason cannot give rise to any refund. The information contained in our technical sheets is given for information purposes only. We reserve the right to modify them at any time.
RISKS
Given the “ adventurous nature” specificity of our trips, each participant is aware of the risks they may incur, in particular due to the distance from medical centers. Each participant therefore assumes these risks in full knowledge of the facts and undertakes not to place responsibility for accidents that may occur on The Portal, on the guides or on the various service providers. If circumstances require it, in particular to ensure the safety of travelers, for climatic reasons or unforeseen events, The Portal reserves the right directly or through its guides to substitute a means of transport, accommodation or one route to another, as well as departure dates and times, without the participants being able to claim any compensation. Each participant must comply with the rules of caution and follow the advice given by the guide. The Portal cannot be held responsible for accidents which are due to the individual carelessness of a traveler. The Portal reserves the right at any time to expel from a group a person whose behavior may be considered to endanger the security of the group or the well-being of the participants. No compensation will be due to the customer. Minor participants remain permanently under the responsibility of the holder of parental authority or their representative designated by them, accompanying them during the trip.
LUGGAGE
Luggage remain the responsibility of the customers at all times. Do not entrust your companion with the responsibility of monitoring them. He cannot materially carry out this task. The maximum authorized baggage weight varies depending on the airline. Find out directly from them. The airline is solely responsible for the baggage you entrust to it during transport. In the event of loss, delay or damage to your luggage, you are solely responsible for taking the necessary steps with them. Your luggage is often transported by rudimentary means (minibus, 4x4 gallery). In the event of damage to these, The Portal will not be able to consider any complaints on this subject.
PHOTOGRAPHY AND MARKETING
By participating in our tours, you consent to having your photo taken for promotional purposes. If you do not wish to be photographed, please inform us in writing.
